Job description
An opportunity has arisen for a full-time office Coordinator to join our team, to assist our departments with the day-to-day affairs and internal procedures. The chosen candidate will be an integral part in ensuring that our office operations run smoothly and are successful in supporting other business activities.
As an Office Coordinator, your responsibilities would include, but are not limited to;
Basic knowledge of payroll will be considered an asset
Supervision of daily office operations
Welcome visitors, prepare refreshments and ordering of lunch when required
Overseeing facility and company vehicle maintenance schedules
Monitor office expenditures, office supplies inventory and manage procurement requests
Monitor IT requests and act as the go-to person on IT related issues with outsourced IT Service provider
Schedule agendas, travel arrangements and appointments
Support with chasing of debtors
Keeping up to date with government grants and submitting applications when necessary
Apply for memberships, Insurance renewals and submission of claims
Support management with various administrative tasks if and when needed
Support with HR Administration mainly by tracking employee sick leave records, handling onboarding and offboarding tasks, acting as the main point of contact with outsourced payroll provider, maintaining Jobsplus records, tracking and applying for TCN permits
Support with Recruitment Process of new employees
Act as a back up for Front Office Coordinator, answering to customer phone calls when and if required
The ideal candidate must:
Be proficient in Maltese and English
Have excellent verbal and written communication skills
Be comfortable with multitasking
Have a pleasant, positive personality
Have the ability to work well under pressure and in a fast-paced environment with frequent changing dynamics
Be familiar with Microsoft Office Suite
At least 2 years previous experience in a similar role would be considered an asset
Basic knowledge of payroll will be considered an asset
