Commercial Administrator

Job description

MINT Health is seeking a highly motivated and skilled commercial administrator to join our team. The company focuses on the representation and distribution of various pharmaceutical products within the local market.

The Commercial Administrator plays a key role in supporting the Commercial Team, ensuring efficient coordination between sales, customers, and internal departments. This role is essential to maintaining accurate records, strengthening customer relationships, and contributing to the smooth execution of sales operations.

Duties & Responsibilities:

  • Prepare and process sales orders, quotations, invoices, and contracts
  • Maintain and update customer and sales data within internal systems
  • Assist with sales reports, forecasts, logbooks and presentations
  • Track sales activities, pipelines, and performance metrics
  • Assist with sales reports, forecasts, and presentations
  • Support with issuing reports relating to credit control and sending of statements to customers
  • Coordinate with supply chain, finance, and quality teams to ensure timely order fulfillment
  • Support customers with order status, documentation, and basic product information
  • Support in the upkeep of accurate customer pricing, loyalty programmes and monitoring of marketing budget reports
  • Update sales portfolios as required
  • Resolve routine customer issues or escalate complex matters appropriately
  • Maintain high standards of responsiveness and customer service
  • Issue reports related to short-dated items
  • Liaise between sales representatives and internal teams to ensure alignment
  • Support onboarding of new customers and distributors
  • Ensure compliance with internal procedures, policies, and documentation requirements
  • Organize and maintain sales files, records, and correspondence
  • Support the obtaining of quotes and procurement of items required by the commercial team
  • Schedule meetings, prepare agendas, and take meeting notes when required
  • Support ad-hoc administrative tasks related required by the team                                                                                                                                              

Qualifications & Requirements:

  • Strong organisational and multitasking skills.
  • Excellent communication and customer service abilities.
  • High level of accuracy and attention to detail.
  • Proficiency in Excel, Outlook, and familiarity with CRM/ERP systems.
  • Experience in sales support or administrative roles is an asset.
  • Ability to work efficiently in a fast-paced environment.
